Executive Administrative Assistant

PDS Tech is seeking an Executive Administrative Assistant for an open position in Indianapolis IN

The ideal candidate will:
  • Support Executive Management
  • Be responsible for making travel and meeting arrangements, screening calls, composing letters and reports, and
  • Prepare presentations and financial data.


  • Maintain schedules for executive meetings, events, and conferences and make adjustments based on constantly changing priorities and scheduling conflicts.
  • Schedule domestic and international travel arrangements and complete detailed meeting and travel itineraries.
  • Monitor and complete electronic expense reports on time.
  • Manage executive’s daily calendar appointments and meetings, prioritizing appointments based on business impact and urgency.
  • Review and prioritize mail, highlighting important information and follow-up, and responding to correspondence as appropriate.
  • Consolidate reports and materials for executive meetings and customer visits, including business reviews.
  • Create executive PowerPoint presentations, including importing pictures and charts.
  • Interface with all organization levels and with external customers professionally and effectively.

  • Bachelor’s degree with 2+ years of experience OR AA/AS degree with 5+ years of experience OR Technical/Business School Certificate or Diploma, Skilled Trades Apprenticeship, or another post-high school training (two years duration) with a minimum of 10+ years of experience considered.


  • Minimum of 5+ years of secretarial experience.
  • Executive-level administrative experience supporting senior leadership is preferred.
  • Experience managing domestic and international travel and filing expense reports using various systems, i.e., Concur, American Express, Ariba, World Travel, Radius, or other travel-related systems.
  • Event planning experience with key leadership meetings, small group business reviews, and or larger scale employee and customer meetings.
  • Ability to quickly build rapport and trusting relationships with the executive leadership team and be the “go-to” partner for executives’ support needs.
  • Can see ahead and anticipate executives’’ needs and challenges and make recommendations to resolve issues, drive efficiency and improve processes.
  • Passion for servicing customers.
  • Ability to listen to customer needs and quickly solve their problems, go above and beyond to exceed their expectations.
  • Self-motivated, self-starter with initiative, ability to work independently, and a strong drive for results.
  • Ability to comfortably manage multiple projects simultaneously and respond to change on short notice.
  • Ability to professionally handle confidential information.
  • Strong attention to detail, accuracy, and precision.
  • Ability to work in diverse, cross-functional project teams to achieve high-performance levels in a dynamic, changing environment. Successful experience with collaborating and developing teams and working in a matrix environment.
  • Superior computer skills in Microsoft Office software programs including Outlook, Teams, PowerPoint, Word, and Excel.
