Description

The Software Organization at the San Diego Autonomous Design Center of Excellence is seeking an Administrative Assistant to join its growing team. The successful candidate would be responsible for providing administrative support to two Department Managers. The successful candidate would be exceedingly well organized, flexible and have excellent attention to detail. They must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism.

Responsibilities
Schedule meetings; coordinates any logistical support for internal/external meetings
Take dictation or record the minutes of meetings
Assist with travel arrangements, making hotel reservations, flight reservations, etc.
Prepare expense reports and slide presentations
Use various Windows software packages to produce high quality reports, presentations or other documents
Organize meeting rooms for large groups on an ad hoc basis
Order catering for office-wide or department meals; includes room set up
Act as primary contact for all questions, issues, and concerns related to the department
Order and stock office supplies
Organize Department functions
Assist other administrative assistants with other tasks as assigned
Other projects as requested

Qualifications

Basic Qualifications:
High school graduate with a minimum of six (6) years administrative experience directly related to the responsibilities of this position.
Demonstrated proficiency with MS Office Suite, specifically Word, Excel, PowerPoint, and Outlook (ability to create and manipulate deliverables utilizing the software)
Experience with Concur travel and expense reporting system
Ability to coordinate all logistical support for internal/external meetings
Ability to collaborate in a team environment
Ability to prioritize and meet expected deadlines
Excellent time management skills
Excellent organizational skills

Preferred Qualifications:
Bachelor’s degree
Experience with collaboration tools such as Microsoft SharePoint and/or Atlassian Confluence
Demonstrated ability to work with minimal supervision, prioritizing multiple tasks with competing deadlines, and managing schedule conflicts
Self-motivated with strong desire to go above and beyond
