Associate Representative

General Summary:

The Service Center Representative role is responsible for insuring that the required paperwork is issued to the job and that the necessary tools, equipment, and materials are available to complete maintenance operations efficiently, on-time, and within budget. Follow on responsibilities include paperwork review, warranty claims, parts return, and customer invoicing. This position works closely with the Operations Manager and Chief Inspector to develop Policy and Procedures within the Service Center by providing administrative/data entry assistance.

Duties and Responsibilities:
  • Creates Purchase Orders within Quantum Control for the procurement of aircraft parts and services. Ensures demand process is satisfied into SAP.
  • Communicates material shortages and takes immediate action to eradicate issues.
  • Maintains and tracks Service Center inventory when applicable.
  • Performs incoming/receiving inspections per Repair Station Manual/Quality Control Manual.
  • Issues material to Work Order/Work Packages.
  • Generates Purchase Request for the procurement of non-aircraft material.
  • Maintains adequate stock of consumable material and monitoring of shelf life.
  • Submits and tracks warranty claims.
  • Assists in assembling Work Orders/Work Packages as required.
  • Scans and retains Repair Station records.
  • Interacts with Accounting associates as required (i.e. to validate interface between Quantum Control and SAP, resolves inventory issues, discuss billing, etc.).
  • Interacts with Customers as required on a tiered telephone support system.

Qualifications
Education, Experience, Certification and/or Licensure:
  • Associates degree in Business Administration or other related field preferred or equivalent industry experience and training
  • 3 or more years’ experience in FAA Part 145 Repair Station environment with Business/corporate aircraft maintenance or similar experience as relating to this position.

  • Intermediate to excellent experience with Microsoft Office applications (Word, Excel, PowerPoint, and Lotus Notes).
  • Experience in industry specific Business Operations Software (i.e. SAP, Quantum Control, Corridor, Pentagon 2000, Total FBO).
  • Ability to create processes and procedures with minimum oversight.
  • Familiarity with aircraft maintenance assembly.

Physical Requirements:

  • Incumbents may be routinely exposed to equipment operational noise heat-cold-dust, and/or aircraft equipment, parts, or fuel odors.
  • Incumbents may be required to stand, sit, squat, walk, bend, move, reach, or stretch for prolonged time periods with no restrictions, as required by job duties.
  • Work in a safe and professional manner while adhering to all regulatory requirements (FAA, OSHA, DOT, EPA, State, and Federal regulations, etc.)
  • Read, hear, speak, and see with no restrictions, as required by job duties.
  • Comprehend and adhere to management directions and/or safety instructions with no restrictions.
  • Effectively communicate in Business English language.
  • Pull, push, carry, lift, or move items up to 1D lbs. throughout the work shift without assistance, as required by job duties.
  • Pull, push, carry, lift or move materials/people/items/equipment weighing up to 50/bs or more during the work shift, with the use of Company provided "reach assistance technology" or "movement assist technology" (fork-lifts, pallet jacks, pulleys, dolly's, robotics reach equipment, people movers etc.), as required by job duties.
