DOCUMENT SPECIALIST

Description:
PDS Tech, Inc. is seeking a candidate for Document Specialist in New York, NY.

The DS performs a variety of document control functions using cloud-based electronic document management system. The DS will work with end-users to collect, maintain, and distribute documents while ensuring quality and integrity of the documentation. 

Essential Functions: 
  • Upload and classify engineering drawings, project reports, specifications, proposals, and other documentation for multiple construction projects in the electronic document management system.
  • Support multiple on-site and off-site project team members engaged in the design, construction, and integration of real estate capital projects and related document management.
  • Ensure design and construction deliverables meet document submission requirements by all stakeholders throughout the documentation life cycle of a project. 
  • Ensure that documents are in searchable with established metadata attributes. 
  • Audit and reconcile project documentation for multiple high profile projects. 
  • Resolve and escalate issues concerning missed deliverables and failure to meet document control requirements. 
  • Provide reports on quality assurance, quantity, and performance of documentation delivery with tracking controls, logs or similar. 
  • Track phases of multiple projects to proactively provide documentation control support to project management. 
  • Enhance the documentation process using the electronic document management system. 
  • Manage risk associated with changes to project teams and phase of project work by controlling access and permissions on the electronic document management system. 
  • Provide strategic advisement on document standards and procedures to Management. 

Skills: 
o Demonstrate excellent written and oral communication, attention to detail, organizational and interpersonal skills 
o Demonstrate ability to interact effectively with project professionals and management 
o Strong administration and project management skills 
o Strong knowledge of an Electronic Document Management Systems, Document Control Tools, or Collaborative Project Management software such as OnBase, e-Builder, or SharePoint. 
o Advanced word processing and spreadsheet experience required 
o Able to lift and move up to 50 pounds. 
o Able to read, write and follow basic English instructions. 
o Able to work with others in team atmosphere with minimal supervision. 

Experience:
o 2+ years of prior document control or project administration experience 
o Design, construction, architecture, real estate development, or facilities management exposure 
o Experience in document management, system administration, or data governance 
o Experience with remote server and application support tools & techniques is required (Remote Desktop, WebEx, GoTo Meeting, etc….) 
o Client hardware capture device (scanners, tablets, input and other capture devices) experience is preferred 

Education: 
o Bachelor’s degree in related field, such as Management Information Systems, Information Technology or Computer Science 
o Imaging certification is strongly preferred such as CDIA 
o Hyland OnBase certifications are strongly preferred (OnBase Ver. 13 or higher) such as: 
• OnBase Certified System Administrator (OCSA) 
• OnBase Certified Advanced System Administrator (OCASA)
