Vendor Coordinator - Hudson Yards

PDS Tech is seeking a candidate for the Vendor Coordinator position located in New York, NY. 
This position is responsible for customer facing activities. These activities require cooperation across a group of individuals that spans the entire organization as well as third parties such as Architecture Firms, Construction Management Companies, and Law Firms. 
I. Essential Functions: 
o Ensuring design and construction deliverables are timely reviewed and meet pre-established document control requirements 
o Maintaining files of engineering drawings, project reports, specifications, proposals, and other related documentation 
o Ensuring that the pre-established document control classification system remains current and is applied throughout the duration of the project. 
o Training project teams in pre-established document control requirements 
o Escalating issues concerning missed deliverables and failure to meet pre-established document control requirements 
o Responsible for on-board new real estate projects to the electronic document management system 
o Provides oversight of legacy content being migrated into the document management system during new project on-boarding 
o Support multiple project teams engaged in the design, fabrication, construction, and integration of real estate with document management 
o Manage the risk associated with changes to project teams and phase of project work by controlling access and permissions 
o Providing strategic advisement on document standards and procedures to the client 
o Prepares reporting that provides client with insight into adherence to document control standards 
I. Skills: 
o Demonstrated level of comfort with technology; word processing, spreadsheet, and database software preferred 
o Strong administration, project management skills. 
o Strong knowledge of an Electronic Document Management Systems, Document Control Tools, or Collaborative Project Management software such as OnBase, e-Builder, or SharePoint. 
o Demonstrate good written and oral communication, attention to detail, organizational and interpersonal skills, 
o Demonstrated ability to interact effectively with project professionals and management 
o Experience with AutoCAD and BIM preferred. 
o Able to lift and move up to 50 pounds. 
o Able to read, write and follow Basic English instructions. 
o Able to work with others in team atmosphere with minimal supervision. 

II. Experience:
o 7+ years of prior professional document or project controls experience 
o Design, Construction, Architecture, Real Estate Development or Facilities Management exposure. 
o Experience in document management, system administration, data governance, 
o Experience with enterprise ECM implementations 
o Client hardware capture device (scanners, tablets, input and other capture devices) experience is preferred 
o Experience with remote server and application support tools & techniques is required (Remote Desktop, WebEx, GoTo Meeting, etc….) 

III. Education: 
o Bachelor’s degree in related field, such as Management Information Systems, Information Technology or Computer Science 
o Imaging certification is strongly preferred such as CDIA 
o Hyland OnBase certifications are strongly preferred (OnBase Ver. 13 or higher) such as: 
• OnBase Certified System Administrator (OCSA) 
• OnBase Certified Advanced System Administrator (OCASA)
