Administrative Assistant

•Manages access to and maintains the Vice President’s schedule which requires contact with internal executives, management, staff, and external customers or officials.
•Works closely with NTM stakeholders to provide graphic support and assistance - to include use of Microsoft Powerpoint, Word, Photoshop and PDF - in the creation and development of visual presentations for the NTM business unit.
•Assists with variety of administrative aspects of projects including purchase requests (and associated documents), tracking FSR’s, processing invoices, scheduling, IT support and meeting notes.
•Collects, records, tracks, and verifies data in SAP and information from multiple sources using Microsoft Excel.
•Creates general correspondences, memos, charts, tables, and graphs in Microsoft Office while proofreading for spelling, grammar, and layout, making appropriate changes and maintaining a high level of accuracy and clarity.
•Plans, schedules and coordinates various organizational meetings, events, and both domestic & international travel arrangements.
•Coordinates, tracks, and may report on the progress of unit work assignments and/or projects.
•Responds to routine verbal and written requests for information from internal sources using independent judgment to plan, prioritize, and organize a diversified workload.
•Prepares, maintains, processes, reviews, and compiles a variety of confidential and sensitive electronic and hard copy reports, records, statistics, timelines, tables, correspondence, and presentations requiring the use of tact and discretion in handling.
•Updates and posts material to the internal Energy website utilizing basic web application techniques.

Typically requires a high school diploma or equivalent and four or more years experience in a field related to the specialized functional area or unit where assigned.
•Must demonstrate considerable knowledge of assigned functional area principles, theories and concepts.
•Must possess: (1) the ability to grasp new concepts quickly; (2) the ability to maintain the confidentiality of sensitive information; (3) strong organization skills and the ability to establish priorities; (4) the ability to identify issues, solve and respond to routine problems or situations that require interpretation; (5) strong analytical, interpersonal, verbal and written communication skills to accurately document, report, interpret and explain moderately complex information as well as the ability to communicate and interface effectively with all levels of personnel, including management, customers and vendors; (6) practical understanding of applicable policies and procedures as well as relevant regulations.
•Excellent proficiency in MS Office suite.
•Ability to work both independently and in a team environment is essential as is the ability to work extended hours as required.
Experience with SAP is highly desirable.
