Payroll Administrator/HR Assistant


Job Purpose:

Generate bi-weekly payroll by compiling various time/attendance inputs and using third-party payroll processor to facilitate payments. Maintaining related records, filing tax reports and voluntary deductions that include drivers, hourly staff and salaried personnel. Under supervision, performs a variety of routine human resources administrative tasks including maintaining employment records, compiling and preparing reports on employment, training, wage and salaries.

Essential Job Results:

  Coordinates and supervises the collection of necessary time/attendance/pay rate information to generate bi-weekly payroll.  This includes working with local terminal personnel to verify accuracy of information maintained in various dispatch software systems.
  Maintains employee demographic, benefit, tax status and direct deposit information.
  Coordinates with third-party payroll processor (Paycom) the structure of payroll system including, earnings codes, deduction rates, information uploading processes, general ledger coding, and necessary reporting
  Assists third-party processor in required quarterly and annual tax filing and reporting
  Responds to requests from the State regarding Unemployment filings, including information on earnings and work turndowns
  Provides employee job verifications when requested and answers employee wage questions.
  Performs special projects and analysis as directed.
  Coordinates work with Accounting, Human Resources and other Corporate staff.
  Work with various local terminal personnel to investigate account variances, spending levels and financial trends.



  • Accurate and timely in data entry, along with strong attention to detail
  • Strong analytical and mathematical aptitude and knowledge of general payroll practices is very important in this position.
  • Must be able to organize work schedule, work independently and be able to prioritize workload.
  • Ability to analyze, interpret and edit reports.
  • Ability to work in deadline situations.
  • Demonstrated ability to work well as part of a team

Education And / Or Experience

  • Associate’s degree in Accounting and equivalent experience.
  • 2-5 years’ experience in Payroll processing working with a third-party payroll processor.
  • Certified Payroll Professional certification a plus
  • Experience with Microsoft Office Products and PC hardware components.

Knowledge, Skills, & Abilities:

  • Knowledge of accounting terms and processes
  • Excellent customer service skills
  • Excellent communication skills and the ability to work with a variety of people in a confidential manner.
  • Ability to quickly learn software programs
  • Ability to sit over 60% of the day at a desk and work at a computer keyboard
  • Ability to lift 1 – 25 pounds of office supplies and equipment
  • Maintain a strong attendance and punctuality record

Work hours are currently scheduled from 8:00AM to 5:00PM, with an hour break for lunch.  These hours are somewhat flexible; however, a set schedule is necessary.
