Administrative Assistant - Training Department

PDS Tech is seeking a contract Administrative Assistant in St. Louis, MO

Job Purpose

Provide a broad range of administrative, technical and clerical support to the Training Department and associated staff. Serve as an integral part of the departmental team. 

Principal Accountabilities

  • Organize and complete a variety of nonrecurring and ongoing projects assigned by the Training Department staff including but not limited to: special tracking reports, spreadsheets, training presentations, learning database management, and data analysis.  
  • Support multiple and concurrent activities, providing administrative guidance and support to a variety of activities and projects.  Work independently or in a team.
  • Maintain an in-depth working knowledge of the organization, disciplines supported, organizational systems, training methods, business practices, policies, procedures and activities. 
  • Effectively and promptly communicate with internal and external customers relative to the department’s policies and practices, answer applicable questions and alert departmental leadership relative to issues affecting the department and the company as a whole.
  • Establish and maintain filing system for the department. 
  • Perform other duties as required

  • Must be flexible and able to manage multiple requests coming in, prioritizing and time management are paramount
  • Must have advanced knowledge of MS Outlook, PowerPoint, and Excel
  • Comfortable tackling tasks without much direction, building trust from managers
  • Maintain balance between everyday responsibilities and one time projects

High school degree or equivalent.
Required Experience & Qualifications

  • Two years experience in a significant administrative support position. 
  • Strong working knowledge of word processing (Word), spreadsheet (Excel), presentation (Power Point), internet and meeting and personal planning software required. 
  • Excellent oral and written communication skills.
  • U.S. Person per ITAR regulations to comply with export compliance and site SSA requirements

Able to interface well with all departments of the company and to represent the company in a highly professional manner.  Must be a multi-task orientated and well-organized person.  Must be customer service driven, able to understand and support the business goals and objectives.  Must maintain the highest level of confidentiality, handling company private, sensitive and personal information in a professional and discrete manner.  Must be able to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of other employees, supervisors, managers, customers, vendors, etc.  

Physical Demands

  • Frequently required to spend long hours sitting at a work stations and using office equipment. 
  • May be required to walk or stand for brief periods
  • May be required to use stairs when elevator is not available
  • Must occasionally lift, carry, push, pull or otherwise move up to 25 pounds of office supplies and materials 
  • May be required to reach with arms and hands and to stoop, kneel or crouch
