Administrative Coordinator

PDS Tech, Inc. is seeking an Administrative Coordinator, in Los Angeles, CA.

The fundamental responsibilities will include:
  • Process certified payroll.
  • Process Purchase Orders issued to suppliers.
  • Customer Billing using mainframe based billing system.
  • Processing, data entry, and tracking of billable new equipment and modernization contracts.
  • Mailing of fully executed contracts back to customer and filing of same contracts within the office filing system.
  • Coordinating with State to submit and secure permits for sold work, as required.
  • Coordinate and lead effort for certified payroll processing and paperwork submittals to customers, as required.
  • Assist New Equipment and Modernization Sales Account Managers to compile, ship, and confirm customer receipt of contractual close out documents (final lien waivers).
  • Assist sales team with pre-bid review/printing of job specifications and drawings.

Other administrative duties may include the following, as needed:

  • Answering phones.
  • Filing and departmental organization.
  • Provide administrative support to branch sales and operations staff, as requested.
  • Print and distribute monthly reports to branch management team members.

  • Bachelor’s Degree preferred.


  • Excellent computer skills, with proficiency in Microsoft Office - Word, Outlook, Excel, and aptitude to learn company-specific software (LINX, mainframe, JDE, for example).
  • The ideal candidate will have exceptional written and verbal communication skills, be detailed oriented, and organized.
  • Demonstrated proficiency in planning, organizing, prioritizing and multi-tasking is required.
  • Must be able to manage workflow efficiently, be self-reliant, show initiative, good judgment, be a team player and have the ability to handle sensitive and confidential information.
