PDS Tech, Inc. is seeking a Brand Business Affairs Associate Remote Local to AZ - WA & CA

Job Description Summary

We are seeking a detail-oriented Business Affairs Associate to drive key execution for the internal Global Talent and Sponsorship team including managing business affairs facets of content partnerships and creative including areas in production, sponsorship and talent agreements, licensing and clearances, scoping legal issues and interpreting contracts for usage rights across the internal advertising agency. This role will also help manage influencer/talent approach with negotiations and contracts executions. You will have additional responsibility as the liaison between business and creative teams, external agencies, and legal counsel to address and minimize liability/risk and create solutions. You will work across all creative production teams helping identify areas of process improvement, establishing best practices while working with the Sr. Business Affairs Manager to define and roll out new processes. The ideal candidate is a very proactive, self-starter who can manage multiple projects at once while meeting tight deadlines. This candidate has strong relationship building skills and  is able to develop credibility and trust with cross functional teams as a compliance lead as a Business Affairs team member.

Key Responsibilities:
  • Research, clear, negotiate and issue talent contracts/licenses as needed for music, photography or other copyrighted material.
  • Develop process to track usage terms and expiration dates of all assets with related third party permissions/rights.
  • You will work with cross-channel partners to implement an updated tracking process within our project management tool Workfront.
  • Own and collaborate with Legal and internal Brand teams to build risk assessment guidelines for production content.
  • Assess and evaluate production clearance issues. Work with creative team and Account Managers  to manage expectations and troubleshoot these issues.  
  • Ability to provide a risk assessment from creative inception to help prepare content for Legal approval.
  • Work collaboratively with Procurement, Legal, and other key partners to consolidate work streams and drive efficiency and effectiveness
  • Provide support to build an updated process for Talent request from Global partners.
  • Collaborate with Brand Ops to Track and store releases and talent contracts.
  • Provide support on documenting and updating Business Affairs processes and policies.
  • Provide clear and consistent communication cadences across the teams for compliance updates as needed.
  • Facilitate key meetings, own agenda creation, and translate content into agreements when necessary
  • Identify new processes and procedures to improve business affairs workflows
  • Provide weekly status updates for ongoing jobs and projects
  • Working with Brand Operations to onboard and secure payment for vendors/talent
  • Provide support to Global Accounts team on substantiations claims needed for TV clearance.
  • Support the Brand Ops team on monthly budget consolidation for Talent/business affairs vendors.
  • Own the process for NDAs, Waivers and Releases. This includes working with I-Certis/DocuSign systems. This may include working with our Legal POC, Brand Ops and the Contracts team as well.
  • Provide Support to Sr. Business Affairs Manager for internal communications for Brand Operations: Includes documenting and communicating process updates/changes or providing support for trainings.
  • Manage post-mortem meetings to identify areas of improvement within the workflow.  Discuss strengths and weaknesses within the process.  
  • Support the Sr. Business Affairs Manager and Global Talent desk on special projects, audits, contracts, and misc items.

Skills and Abilities:
  • Strong project management skills and the ability to multi -task under pressure and tight deadlines
  • Expertise in business affairs, creative production and talent including influencers
  • Minimum of 5 years prior experience in rights related positions in the advertising, entertainment, or social media industry
  • Extensive up-to-date industry knowledge on licensing issues in a wide variety of media
  • Ability to partner with Legal and others in the application of legal standards in marketing, including production contracts, talent contracts, and non-union talent agreements, music licensing, clearances, and licensing of third-party materials, right of publicity, and copyright and trademark considerations
  • Can demonstrate leadership and influence in a complex organization; exercising sound strategic, legal, and business judgment in challenging situations; independent and proactive
  • Superior organizational, prioritization and time management skills; ability to execute against multiple, high-priority projects, with a keen attention to detail
  • Superior communication skills; ability to explain complex legal and business issues with clarity and simplicity to partners
  • Excellent use of Microsoft Office Suite and key organizational tools 
  • Strong communication skills
  • Strong interpersonal skills, ability to build and leverage cross-functional relationships
  • Ability to learn and document new processes and independently work to apply these learned skills 
  • SAG-AFTRA, overscale/celebrity experience a plus

Qualifications and  Attributes:

  • Bachelor’s degree in the area of Marketing/Business Affairs 
  • At least 6 years’ of contract management experience within marketing and/or ad agency experience, 
  • Proven experience with contract and agreement development within marketing
  • Excellent organizational skills, attention to detail and a strong sense of urgency and follow-through
  • Outstanding communication and problem-solving skills
  • Proven relationship builder with diverse stakeholder groups
  • Ability to juggle multiple projects at once in a fast-paced, results oriented environment
  • Excellent written and verbal communication skills
  • Resourceful self-starter who is comfortable with ambiguity
  • Energetic, friendly and self-motivated attitude
